Efficiency on Overdrive: Supercharge Your Time Management with These Tech Tools

As our lives become more hectic, it’s becoming increasingly challenging to stay on top of everything we need to do. Fortunately, there are many productivity tools available that can help us manage our time more effectively and get more done in less time.

Technology has revolutionized the way we work and manage our time. With countless apps and tools available, it can be overwhelming to figure out which ones are worth using and how to use them effectively.

Let’s explore how to use technology to improve your time management and boost your productivity.

  1. Use a task management app: A task management app can help you keep track of all your to-dos in one place. You can create tasks, assign due dates, and set reminders to help you stay on track. Some popular task management apps include Click-Up, Todoist, Trello, and Asana.

    The app that works the best for me is Click-Up. I find the simplicity of their recurring tasks or duplicating tasks saves me countless hours in formatting. The ease at which you can break down larger goals and tasks into more manageable tasks is extremely powerful in helping me overcome procrastination and decision fatigue.

    I just go into the task and complete the next step and then reap the fulfillment of accomplishment that would have been missed had I just seen the large task of “Twitter Influence.” I instead see the step of daily engagement, with a suggestion of 5-10 comments/retweets/adds. A manageable task that my brain can process and do without feeling overwhelmed as I would have been just seeing the task of Twitter Influence.
  2. Set up a calendar: A calendar app can help you manage your schedule and ensure you don’t miss any important appointments or deadlines. You can use it to schedule meetings, block off time for focused work, and set reminders for upcoming events. Popular calendar apps include Google Calendar, Apple Calendar, and Outlook.

    I use Google Calendar to manage my schedule and appointments. You need to have a method to visualize the time commitments you have made. This will help you keep yourself from being overbooked, having the feeling of forgetting things, and planning your day-to-day schedule.
  3. Use a time tracking tool: A time tracking tool can help you understand where your time is going and identify areas where you can improve your productivity. You can use it to track how much time you spend on different tasks and activities and analyze the data to identify patterns and make adjustments. Popular time-tracking tools include RescueTime, Toggl, and Harvest.

    If you do not know where your time is going and you feel like you are not accomplishing what you should, then I highly suggest tracking your time for two weeks to a month. This will help you visualize where you spend your time and give you valuable data points when trying to make decisions on changes to improve your time management. You can’t fix problems that you don’t know exist and tracking your time helps people realize weaknesses or areas for improvement in their lives.
  4. Automate repetitive tasks: Automation can save you time and reduce the risk of human error. You can use tools like IFTTT (If This Then That) or Zapier to automate tasks like sending emails, creating calendar events, or adding tasks to your to-do list. This can help you focus on more important tasks and free up time for other activities.

    Technology is advancing so quickly, there are countless apps and software that will do repetitive tasks and do them well, better than a human. Take advantage of them, these types of software are often complex and work well for certain industries or businesses. Take a look at what repetitive tasks are taking significant chunks of your time from your time log and then commit to spending some time researching options that could automate all or a portion of those repetitive tasks.

    Automating the creation of the rough draft of my to-do list each day through Click-Up freed up so much mental bandwidth and time. Time that I now use for meaningful and engaging conversations with family and friends.
  5. Use a note-taking app: A note-taking app can help you capture and organize ideas, meeting notes, and other important information. You can use it to create to-do lists, jot down ideas, and collaborate with others. Popular note-taking apps include Evernote, OneNote, and Obsidian.

    Notes are your second brain. Treat them as such. Find an app or software to house the useful information you have learned. This will improve your recall and future learning, as you can easily find, digest, and add to your existing knowledge base in a more efficient manner.

    Obsidian is the knowledge-storing software that I utilize as it is simple to link similar thoughts and topics. It also has an easy search (recall) ability which comes in handy when you are ready to go in and expand your knowledge and learning in that area.
  6. Use a distraction blocker: Distractions like social media, email, and notifications can disrupt your focus and productivity. A distraction blocker can help you stay focused by blocking distracting websites or apps during focused work sessions.

    Popular distraction blockers include Freedom, Cold Turkey, and Focus@Will. You can also create time limits for apps within your phone. I have time limits set for all of my social media apps set for 15 minutes. If I am scrolling for more than fifteen minutes a day, I need a mindfulness reminder to help prompt me to get off the app and enjoy life.
